What happened: on July 1, 2025, Intuit rolled out its first AI agents in QuickBooks Online: Accounting, Payments, Finance and Customer agents (Woodard Report). At Intuit Connect in November 2025, it added Payroll and Sales Tax agents and expanded the rest (Insightful Accountant).
Why it matters today: your clients' books are increasingly being categorized, reconciled and chased for payment by software agents. With QuickBooks Online Accountant retiring on December 31, 2026 (our migration guide), firms need a clear view of what the agents do and how to review their work.
The agents, plan by plan
| Agent | What it does | Plan required |
|---|---|---|
| Accounting | Categorizes transactions, reconciles (including against PDF statements), flags anomalies, texts clients for missing receipts | Essentials and up |
| Payments | Learns when customers pay, chases late invoices, drafts recurring invoices | Essentials and up |
| Payroll | Collects hours, flags anomalies, sends a draft payroll for approval | Essentials and up + QuickBooks Payroll |
| Customer | Finds leads in email, drafts follow-ups and estimates (including from voice notes) | Plus and up |
| Sales Tax | Identifies the right sales tax and flags issues before filing | Plus and up |
| Project Management | Turns signed contracts into projects; profitability insights | Advanced and up |
| Finance | Month-end close support, KPIs, anomaly flags, draft monthly summaries for accountants to edit | Advanced and up |

What Intuit claims
- Up to 12 hours a month of routine work automated
- The Payments agent can shorten payment cycles by up to five days
These are Intuit's own figures (Digital Commerce 360). CEO Sasan Goodarzi described the agents as working like "a virtual team working on behalf of businesses" (VKTR).
Where the risk sits for firms
The agents are designed around human approval: payroll arrives as a draft, and Finance agent summaries are drafted for the accountant to edit. But agents also act: they reconcile, send reminders and contact clients. Commentators stress that professional oversight is essential, and that firms should think about data security, auditability and internal review guidelines (Woodard Report).
Common failure points to watch:
- Miscategorization at scale. One wrong rule repeats across hundreds of transactions.
- Auto-reconciled items that match on amount but not on substance.
- Client-facing messages (receipt requests, payment reminders) sent in your client's name.
- Sales tax suggestions treated as determinations.
A review workflow for agent-run books
- Decide which agents each client gets. Not every client should have payment chasing or receipt texting turned on.
- Review weekly at first. Check the agent's categorizations and reconciliations, then reduce frequency as accuracy proves out.
- Use anomaly flags as a queue, not as the whole review.
- Lock prior periods after close so agents can't change them.
- Document approvals for payroll and sales tax filings.
- Tell clients what's automated and what you still review.
The same "AI flags, you decide" approach applies across the new Intuit Accountant Suite and its AI features (Intuit UK). Comparing alternatives? See the best AI bookkeeping software for firms.
FAQ
Do the agents cost extra?
They come with QuickBooks Online plans at the tiers shown above. Some mobile features need a separate QuickBooks Assist subscription.
Can I turn agents off for a client?
Agents vary by product and settings. Check each client's QuickBooks settings and agree with the client what stays on.
Do agents replace bookkeepers?
They automate routine entries. Review, judgment, close and advice still need a person, and that's where firms add value.
